Quote vs estimate vs invoice
Small businesses use these words interchangeably, but customers — and sometimes the law — treat them differently. Here is what each one means and when to send it.
Estimate: an educated guess
An estimate is an approximate price based on what you know now. It tells the customer the likely cost but leaves room for change, for example when you cannot see behind a wall. Label it clearly as an estimate and explain what could change the price.
Quote: a fixed price for a defined scope
A quote (or quotation) is a firm price for specific work, valid for a set period. If the customer accepts, you are expected to do that work for that price. Changes in scope should be priced as a new or revised quote.
Proposal: a quote plus the pitch
A proposal adds context to a quote — your approach, timeline, examples of past work. It suits larger or creative projects. For most trade jobs, a clear quote with good notes is enough.
Invoice: the request for payment
An invoice is sent after (or during) the work and asks to be paid. It usually needs an invoice number, tax details and payment instructions, and in many countries must follow specific legal rules. A quote is not an invoice.
How they fit together
- Customer asks for a price → you send an estimate or a quote
- Customer accepts the quote → you schedule the job
- Scope changes → you send a revised quote
- Job done → you send an invoice based on the accepted quote
Which should you send?
If you can define the scope, send a quote: customers prefer certainty and accept fixed prices more readily. If you genuinely cannot, send an estimate with a range and explain what you need to find out. QuoteNod documents are marked as quotes/estimates, never as invoices.
FAQ
Can a quote change after it is accepted?
Only if the scope changes or the quote said certain items were provisional. Price the change separately and get it approved.
Is an estimate binding?
Generally no — it is a best guess. But a wildly inaccurate estimate damages trust, so give a realistic range.
Do I need to send an invoice if the quote was accepted?
Yes. The accepted quote is the agreement; the invoice is the request for payment and often a legal tax document.
