How to follow up on a quote without being pushy

Many quotes are not rejected — they are forgotten. A polite, well-timed follow-up wins jobs you would otherwise lose. Here is when to follow up, what to say and how to make it effortless.

When to follow up

  • Same day: confirm they received it (WhatsApp is ideal)
  • After 2–3 days: a short check-in with an offer to answer questions
  • Before the quote expires: a reminder of the valid-until date
  • After a 'no': a brief thank-you and a request for feedback

Know whether they opened it

Following up blindly is awkward. With QuoteNod you can see when a quote has been viewed, accepted or rejected, so you can tailor the message — “Did you have any questions?” lands better when you know they have looked. Quotes sent by email from QuoteNod also get one automatic reminder after 3 days if there is no answer.

Template: friendly check-in (WhatsApp)

“Hi Sarah, just checking you received the quote for the bathroom tiling. Happy to answer any questions or adjust anything — here's the link again: [link]”

Template: before it expires (email)

Subject: Your quote #Q-0042 is valid until Friday

“Hi Sarah, a quick note that the quote for the bathroom tiling is valid until Friday 2 November. If you'd like to go ahead, you can accept it online in one tap: [link]. If anything needs changing, just reply and I'll update it.”

Template: after a no

“Thanks for letting me know, Daniel. If you have a moment, I'd appreciate knowing what made the difference — price, timing or something else? It helps me improve. All the best with the project.”

What not to do

  • Chase daily
  • Discount immediately without being asked
  • Send a long message — two or three sentences is enough
  • Follow up without the quote link

FAQ

How many times should I follow up on a quote?

Two or three times is usually enough: once after a couple of days, once before it expires, and optionally once after.

Is it OK to follow up by WhatsApp?

For most small-business customers, yes — it is fast and personal. Keep it short and include the link.

Should I offer a discount when following up?

Not by default. Ask whether they have questions first; discount only if price is the stated objection.
